Privacy Policy

Who we are and what this policy covers
Clubroom Golf Pty Ltd trading as GolfDream (ABN 75 690 795 745) operates golfdream.com. In this policy, “we”, “us” and “our” mean that company. Where applicable data protection law uses that term, we are the controller of personal information used for the purposes described here.
This policy explains how we handle information about website visitors, people who enquire about our products, newsletter subscribers and people featured in our event photography. It also covers product configurator requests and Australian simulator bookings and payments made through our website.
You can contact us at enquiries@golfdream.com or write to Privacy enquiries, GolfDream, 101 Abbott Rd, Hallam VIC 3803, Australia.
We use Bookla to manage simulator bookings and Stripe to process payments. This policy describes our handling of booking information; venue operators and payment providers may also have their own privacy notices.
Information we collect and where it comes from
You may give us your name, email address, phone number, enquiry subject, message, product preferences and configuration details when you contact us or submit a request. We also keep relevant correspondence and records of how we responded.
When you make a simulator booking, we collect your contact details and information about the venue, session date and time, booking reference, participants where requested, and related correspondence. We use Bookla to record and manage these details. Stripe collects the payment information needed to process your transaction. Relevant payment status, transaction references and refund records are used to administer the booking and maintain financial records. Please provide information about other participants only where you are authorised to do so.
Newsletter subscriptions include the contact details you provide, your subscription preferences and evidence of your signup or withdrawal. Please do not include payment card details, identity documents, health information or other unnecessary sensitive information in enquiry messages.
When you use our website, our hosting and security services may collect technical information such as your IP address, browser, device information, requested pages, timestamps and security logs. Subject to the choices described below, Google Analytics may collect information about website visits, interactions and referral sources. Consent Pro records cookie preferences and information needed to manage and demonstrate those preferences.
Where you choose to load embedded YouTube videos or Google Maps, Google may receive technical and interaction information. Its handling of that information also depends on its own privacy terms and your Google settings.
We may take photos or videos at events. An image is personal information where you can reasonably be identified. We may also receive a testimonial or photograph directly from you.
Why we use information
We use enquiry and configuration details to answer questions, contact you about your request, understand your requirements and prepare or discuss an offline quotation. Submitting an enquiry does not automatically subscribe you to newsletters.
We send newsletters only when you opt in. We use subscription records to manage delivery, preferences and unsubscribes. Every newsletter will provide a way to unsubscribe, and you can also email us.
We use relevant technical information to operate and secure the website, diagnose problems, prevent misuse and, where permitted by your choices, understand website use and improve its content.
We use booking information to arrange sessions, send confirmations and service messages, respond to booking enquiries, reconcile payments and administer cancellations or refunds under the applicable booking terms. Booking messages are separate from opt-in newsletters.
We use event images and testimonials for the publication purposes explained when permission is sought. We may publish authorised material in website articles and on our social media pages. Online publication can make material accessible worldwide, and social platforms handle information under their own policies.
We may also use necessary records to comply with legal obligations, respond to privacy requests, manage complaints and establish or defend legal claims.
You can browse without providing enquiry or subscription details. If you do not provide information needed for a request, we may be unable to respond or prepare the requested quotation.
Cookies analytics and embedded content
We use Consent Pro to manage cookie preferences. Necessary technologies support functions such as security and remembering your privacy choices. Optional technologies may support analytics and embedded third-party content.
You can accept or reject optional categories and revisit your choices through Cookie settings in the website footer. Rejecting optional technologies should not prevent you from submitting an enquiry or subscribing to our newsletter, although blocked videos or maps may remain unavailable.
We obtain consent before enabling optional analytics, advertising technologies and relevant third-party embeds. Withdrawing permission stops future optional collection through our site; it does not automatically erase information already lawfully collected.
The cookie settings panel provides the current technology inventory, including providers, purposes and durations. Browser controls can also manage cookies, but may not control every tracking technology.
We use Google and Meta advertising tools for remarketing and campaign measurement. These tools use cookies, pixels and similar technologies to collect device and browser identifiers, IP addresses, pages viewed, interactions and referral or conversion information. This helps us show GolfDream advertising to previous visitors on other websites and platforms and measure its effectiveness. Advertising providers may associate this information with information they already hold, including a signed-in account, under their own privacy policies.
You can decline advertising technologies or withdraw consent through Cookie settings. You may still see general advertising after opting out. Newsletter consent is separate from cookie choices; submitting an enquiry or making a booking does not subscribe you to newsletters.
Who receives information
Access to enquiry information is limited to authorised GolfDream staff and service providers needed to operate our systems. We do not pass enquiry details to venue partners or distributors for their own marketing.
Our service providers include Webflow for website hosting and forms; Google Workspace for email and business records; HubSpot for CRM, newsletters and form functions; Google Analytics for website analytics; Google YouTube and Maps for embedded content; and Consent Pro for privacy preference management.
A provider may process information on our instructions, or handle some information for its own purposes under its terms. The exact role depends on the service and configuration. We may also disclose necessary information to professional advisers, authorities where legally required, or parties involved in a genuine business restructuring subject to appropriate protections.
We also use Bookla for booking administration, Stripe for payment processing, and Google and Meta for advertising and remarketing. Information is shared with these providers to deliver the relevant functions, subject to applicable consent requirements. Booking information may be shared with the relevant venue operator where needed to deliver or administer your session. This does not authorise the venue to add you to its marketing lists.
International handling
We operate in Australia. Our technology suppliers may store, process or allow access to information outside Australia.
Where applicable law requires international transfer safeguards, we must put an appropriate mechanism in place before the relevant transfer. Depending on the service and legal regime, this may involve an adequacy decision, approved contractual safeguards and supplementary measures.
How long we keep information
We keep information for as long as reasonably necessary for the purpose for which it was collected, subject to applicable legal requirements and justified dispute holds.
We retain unsuccessful enquiry and configurator records only for as long as needed to respond to and manage the enquiry, taking account of the time since the last meaningful interaction. Records that become part of a customer transaction, including booking, payment and refund records, are retained as needed to provide services, meet applicable tax and accounting requirements, and resolve disputes.
We keep newsletter contact information while you remain subscribed, with periodic reviews of inactive subscriptions. After unsubscribe, we may retain a minimal suppression record to prevent further marketing and proportionate evidence of consent or withdrawal.
We review event imagery and its permissions periodically and remove material that is no longer needed or authorised. Technical logs, analytics and consent records follow purpose-specific limits documented in our retention schedule. Where a deletion exception applies, we restrict further use to the reason for retention.
Security
We use reasonable measures appropriate to the information and risks, including restricted access and two-factor authentication for our Google Workspace email environment. No website, transmission method or storage system is completely secure.
We review security and access arrangements as our services develop. Please avoid sending unnecessary sensitive information through ordinary email or website forms.
Your choices requests and complaints
Contact enquiries@golfdream.com to request access, correction or deletion, change your preferences or raise a concern. We may request proportionate information to verify your identity and authority. Please do not send identity documents unless specifically requested through an appropriate process.
Your rights depend on applicable law and may include access, correction, deletion, restriction, portability, objection and withdrawal of consent. Some requests have exceptions, such as records we must retain by law. Withdrawing consent does not affect the lawfulness of earlier processing.
We aim to acknowledge requests within five business days and respond within 30 calendar days or any shorter applicable legal deadline. Where a different statutory period or lawful extension applies, we will explain it.
We will investigate complaints and explain our response. Where applicable, you may complain to the Office of the Australian Information Commissioner, the UK Information Commissioner or another relevant data protection authority. You do not have to complain to us first where the law allows direct regulator contact.
Information for people in the UK and EEA
Where UK or EEA data protection law applies, our legal bases depend on the purpose:
- Enquiries, configuration discussions and requested sales follow-up: our legitimate interests in responding to business enquiries; or taking requested steps before a contract where you personally would be the contracting customer.
- Bookings and related service communications: performance of a contract with you, or steps you request before entering a contract; where you are a participant rather than the contracting customer, our legitimate interests in administering the booked session.
- Opt-in newsletters, optional analytics, advertising technologies and permission-based publications: consent where required.
- Necessary website security and administration: our legitimate interests in maintaining a secure, usable service.
- Legal recordkeeping and required disclosures: the relevant legal obligation where applicable; otherwise a separately assessed legitimate interest where appropriate.
We assess legitimate interests against individuals’ rights and interests. You may request details and object to processing based on legitimate interests. You may object to direct marketing at any time.
The configurator provides an indicative product estimate for human review. It does not make a final purchase or eligibility decision about you.
You may complain to the UK Information Commissioner at ico.org.uk or, where applicable, an EEA supervisory authority. The rights described above apply subject to their legal conditions.
Information for people in the United States and other regions
Our use of advertising technologies may constitute sharing for cross-context behavioural advertising or targeted advertising under applicable US privacy laws. You can disable optional advertising technologies through Cookie settings and contact us to exercise applicable opt-out rights.
Where applicable local law gives you additional rights, these may include access, correction, deletion, portability, appeal of a declined request, or opting out of certain advertising, sales or sharing of personal information. Contact us to exercise applicable rights. We will not unlawfully discriminate against you for exercising them.
Children and young people
This website provides product information and general enquiry facilities and is not intended as a dedicated service for children. Children may nevertheless visit the site or appear in event imagery.
We do not treat a child’s ability to visit the site as proof they can validly consent to every use of information. Where consent is required, we consider the individual’s capacity and obtain parent or guardian involvement where appropriate.
A parent, guardian or young person can contact us about information or imagery. We assess requests with regard to the young person’s rights, capacity and the requester’s authority. We will assess any known collection from a child against applicable requirements before continuing the relevant use.
Young people may participate in simulator sessions. We use their information only as necessary for the relevant booking, service or other lawful purpose, with appropriate parent or guardian involvement where required. Booking authority and supervision requirements are governed by the applicable booking and venue terms. This privacy policy does not establish a minimum participation age.
Changes
We may update this policy as our services or practices change. We will show the effective date and give additional notice or seek fresh consent where required.
